The Big Picnic Weekend is Stern Grove Festival’s annual fundraising event, bringing together our community for an unforgettable weekend of live music. VOLUNTEER ROLES

*Most roles are during our shows on Sundays at 2pm

  • Morning Shift 8am-12pm

    -Set up volunteer booth

    -Set up donation stations

    -Set up Kid Zone area

    -Prep for the festival

  • Mid Day Shift 10am - 2pm: Opening Crew

    Afternoon Shift 12pm-4pm: Concert Crew

    Evening Shift 2pm-6pm: Closing Crew

    -Managing the volunteer booth

    -Collecting donations from patrons

    -Assisting at the information and VIP kiosks

    -Help out with any day-of-show concert needs

  • Afternoon Shift 12pm-3pm

    -Help out with the Kid Zone!

    -Keep it tidy

    -Facilitate games and family-friendly activities

    -Arts and crafts with Stern Grove Kiddos

  • Responsibilities:

    Assist bar manager and other vendors as needed with set-up, tidiness of bar/booth areas, flow of traffic.

    Provide guests with basic information as needed, ID check.

    Monitor recycling/trash areas and ensure they are not overflowing.

    Qualifications:

    -Bar area - must be 21+.

    -Strong organizational skills.

    -Ability to handle physical tasks.

    -Good communication skills.

  • Responsibilities:

    Support volunteer manager and marketing manager with incoming/outgoing communication to volunteer team including distribution of schedules, social media, and responding to messages as needed. 

    Provide information about the volunteer roles, festival updates etc.

    Distribute posters and flyers as part of a street team as needed.

    Qualifications:

    -Strong written and verbal communication skills.

    -Experience in communications, marketing, or public relations.

    -Ability to manage multiple communication channels.

    -Attention to detail and ability to convey information clearly.

  • Responsibilities:

    Promote and assist with recycling and waste management efforts.

    Educate attendees about environmental initiatives at the festival with signage, verbal information.

    Ensure festival grounds remain clean and litter-free.

    Assist with setup and breakdown of recycling/trash stations.

    Qualifications:

    -Passion for environmental sustainability.

    -Ability to perform physical tasks and work outdoors.

    -Good communication skills.

  • Responsibilities:

    Greet and assist VIP guests, and coordinate with staff to ensure a high level of service at all times.

    Hand out lanyard at each show for VIP tables and other key elements as directed by staff.

    Manage VIP areas, help with set up and ensure areas are clean and stocked with necessary items.

    Provide personalized service and address any special requests.

    Qualifications:

    -Experience in customer service or hospitality.

    -Discretion and professionalism.

    -Excellent interpersonal skills.

  • Responsibilities:

    Support Patron Experiences Manager prior to gates opening at 12 pm, keeping the team updated about how long the lines are at each entry point to the festival, and providing updates about the shuttle line as needed.

    Provide guests with key information about the festival, including schedules, maps, and activity locations.

    Assist with directions and general inquiries and provide information about local amenities and services. 

    Handle lost and found items.

    Manage donation kiosk at Info Booth. Ask for donations!

    Qualifications:

    -One (1) year of volunteer experience.

    -Excellent communication skills.

    -Familiarity with the festival layout and schedule.

    -Patience and a helpful attitude.

  • Responsibilities:

    Act as lead support in key areas of the festival each Sunday to support the Volunteer Manager. 

    Train new volunteers on specific roles and functions (VIP booth, Info booth, etc).

    Train volunteers to fundraise at each concert: proper use of Donation Stations (iPads), Clover machines, QR codes, how to communicate with guests and ask for donations.

    Help with check in/out of volunteers and equipment at each concert. Ensure volunteers receive necessary materials for their role and provide any last-minute instructions.

    Manage the reserved volunteer seating area at each concert.

    Qualifications:

    One (1) year of volunteer experience.

    Strong organizational and leadership skills.

    Excellent communication and interpersonal skills.

    Ability to handle multiple tasks and work under pressure.

    Act as lead support in key areas of the festival each Sunday to support the Volunteer Manager. 

    Train new volunteers on specific roles and functions (VIP booth, Info booth, etc).

    Train volunteers to fundraise at each concert: proper use of Donation Stations (iPads), Clover machines, QR codes, how to communicate with guests and ask for donations.

    Help with check in/out of volunteers and equipment at each concert. Ensure volunteers receive necessary materials for their role and provide any last-minute instructions.

    Manage the reserved volunteer seating area at each concert.

    -One (1) year of volunteer experience.

    -Strong organizational and leadership skills.

    -Excellent communication and interpersonal skills.

    -Ability to handle multiple tasks and work under pressure.

  • Responsibilities:

    Assist with the setup and breakdown of festival infrastructure.

    Coordinate with staff to ensure smooth operations.

    Help manage inventory and check in/out of supplies and equipment.

    Provide support for various logistical needs throughout the festival.

    Qualifications:

    -One (1) year of experience.

    -Strong organizational and multitasking skills.

    -Ability to perform physical tasks and lift and move equipment as needed. (up to 25 pounds).

    -Good problem-solving skills.

  • Responsibilities:

    Bike Valet - Support the Bike Valet Operations located at 21st and Wawona by admitting, moving, and returning bikes to attendees.

    Wawona Parking Lot Flagger - Support the Wawona Vehicle Control & Parker by ushering and flagging cars between the two personnel to ensure safe, swift, and structured parking lot operations. 

    19th and Sloat Usher - Support with patron flow and monitoring during cue & opening procedure by our main entrance. 

    Qualifications:

    -Ability to perform physical tasks and work outdoors.

    -Good communication and problem-solving skills.

  • Responsibilities:

    Monitor entry/exit and other areas of the festival to ensure safety. 

    Assist with flow of crowd and act as eyes and ears of suspicious activity or incidents and report to volunteer manager, festival security.

    Qualifications:

    -Ability to remain calm in stressful situations.

    -Strong observational skills.

    -Basic first aid knowledge (preferred).

  • Responsibilities:

    Support box office manager/team with greeting attendees, scanning tickets upon entry.

    Answer basic questions about the event schedule and location of key areas.

    Help in keeping the guest entrance and exit areas safe and free flowing. 


    Qualifications:

    -Friendly and approachable demeanor.

    -Good problem-solving skills.
